OTM has been on retainer with this client since 2017 and provides consultation, concept development, graphic design, copywriting, printing and mailing. Our team supports all aspects of constituent communication, fundraising and solicitation, and annual events. Within this scope of work, OTM was charged with increasing registration response rates for the Annual Walk for Awareness which would be held at a new location.

The Process: OTM met with the client to discuss current challenges and goals for the event. The client aimed to draw broader registrations and sponsorships based on the new county park location. It was important to message that location shift early and to a larger audience based on geographical proximity.

The Concept: OTM accelerated the direct mail timeline to allow for multiple touches. Rather than using a letter like previous years, we utilized a self-mailer to pitch event sponsorships and registration This would allow for an immediate and stronger visual connection to the new park location through color and design elements such as greenery, grass and leaves. This banding would extend throughout the direct mail campaign and be supported through email, social and signage.

The Execution: A two-touch direct mail outreach campaign was utilized.

Mailing 1– an oversized bifold self-mailer sent to 10,800 prospects and 5,200 donors, highlighting the event date, location and mission with a call for registration and sponsorships.

Mailing 2 – a month later, an oversized postcard mailed to an 8,000-record subset of the original group based on client preferences.
